1

Step 1

Create a Job Requisition

In SCALIS, the job requisition serves as a centralized record and starting point for the recruitment process, keeping HR, hiring managers, and other stakeholders aligned.

![Starting a new job requisition](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/within%20step%20one%20before%20bullets.jpg)

From your **Job Dashboard**, click **New Job Requisition**.

Select **Create New Requisition**, then click **Continue**.

**Enter the requisition details:**

**Job Title**

**Job Type**

**Job Leveling**

**Departments**

**Company Office** (optional)

**Subsidiary** and **Client** (optional)

**Requisition ID**: click **Generate ID** and the system creates one for you.

Toggle on **Travel Required** if the role requires travel.

**Configure openings:**

Click **Add an Opening**. The system generates an **Opening ID**.

Define the **Open Date** and your **Target Hire Date**.

Select the **Opening Type** from the dropdown: Evergreen, Internal Hire, New, or Replacement.

Repeat to add as many openings as the requisition has.

**Define compensation:**

Select the **Compensation Type**: Hourly or Salary.

Enter the pay **range**.

Add any **Additional Compensation**. This is for internal use only.

**Define benefits and custom fields:**

Define any **benefits**.

Fill out any **custom fields**, if applicable.

Click **Next**.

![Requisition openings and compensation](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%201%20part%202.jpg)

💡 **Note:** Openings power your time to fill reporting and hiring analytics, so completing this step is critical for accurate analytics.

2

Step 2

Entering a Job Description

**Manual Entry**: type or paste into the job description text box.

**Use a Job Description Template**: if it's your first time, templates may not be available yet.

Save job descriptions as templates by checking the **Save as New Template** checkbox to reuse them later.

View and edit existing job description templates by clicking **Manage Job Templates**.

**Define skills for the role** (optional):

The skills you define are posted on the job for candidates to see.

They also improve internal matching, contributing to the **match scores** SCALIS provides.

For each skill, define whether it is a **must-have** and the required **level of competency**.

![Entering a job description](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%202%20JD.jpg)

💡 **Note:** Entering a job description won't automatically make it visible on your job listing. You can use a different description on your job listing than the one in your job description. Learn more about Job Descriptions vs. Job Listings [here](https://help.scalis.ai/job-descriptions-vs.-job-listings?hsLang=en).

3

Step 3

Create a Job Listing

Job Listings are the external version of your job description and are designed to attract candidates. Multiple job listings can be associated with a single job requisition.

**Start the listing:**

Choose to **start from scratch** or **clone an existing listing**.

Enter the **public listing title** and the **internal title**, then click **Continue**.

![Creating a job listing](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%203%20part%201.jpg)

You're taken into the listing editor. Enter details on the **left**; the **right** side shows a live preview of what the listing will look like.

**Set the entity and basics:**

Choose the **entity** the listing will be associated with.

Enter the **listing title** and **internal title**.

Decide whether **compensation is public**.

Check the box if a **resume is required** from applicants.

**Define the workplace type:**

Choose **On-site**, **Hybrid**, or **Remote**.

For **On-site** or **Hybrid**, add the physical location where candidates will work: search for an address or office, or enter a location manually.

For **Remote**, enter the country, city, and state for the listing location.

You can add up to **seven locations** to a single listing, and set the **primary location**.

**Set industry and visibility:**

The **industry** auto-fills from your company defaults, or you can define a separate **industry** and **sub-industry**. This is used for distribution to the job boards the role is posted to.

Choose whether the listing is **publicly visible** on your career site or remains **private**.

Click **Continue**.

![Job listing entity and details](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%203%20part%202.jpg)

**Add the listing description:**

This is the description candidates see on your listing.

Toggle on **Auto-fill from Job Description**, or enter a different listing description here, which can be used for A/B testing.

Click **Continue**.

![Adding the listing description](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%203%20adding%20listing%20description.jpg)

**Add screening questions:**

Add screening questions, or fill them in from an application form.

You can also link out to build an application form here.

Optionally add a **video screen** to the application process.

The right side previews how the screening questions will look to candidates as they apply.

Click **Continue**.

![Adding screening questions](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%203%20adding%20screening%20Qs.jpg)

**Review and publish:**

Review the **overview** of your listing and how it will be published.

Click **Create Listing**.

💡 **Note:** Repeat this process if you want to add additional listings for your job requisition.

4

Step 4

Configure Your Hiring Pipeline

Pipeline templates help your hiring team maintain a consistent hiring process across job requisitions. Learn how to set up a pipeline template and the different interview stage types [here](https://help.scalis.ai/how-to-create-a-pipeline-template?hsLang=en).

**Name Your Pipeline**: for internal reference only.

**Select a Pipeline Template**: choose an existing template or create a new one.

**Add or Remove Interview Stages**:

Customize stages within the **Pre-screen** and **Interview(s)** milestones.

Choose whether each stage is an **Internal Stage** (not visible to candidates) or an **External Stage** (visible to candidates on their application dashboard).

When finished, click **Save**.

![Configuring the hiring pipeline](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%204%20pipeline%20pt%201.jpg)

![Customizing interview stages](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%204%20pipeline%20pt%202.jpg)

5

Step 5

Define Your Hiring Team

Your hiring team is created automatically from the people added to the interview stages when you set up your pipeline.

Review the members added to your hiring team from the pipeline's interview stages.

Confirm each member's **job-level permissions** are correct before publishing.

![Defining your hiring team](https://help.scalis.ai/hubfs/Knowledge%20Base%20Guides/opening%20a%20job/step%205%20define%20hiring%20team.jpg)

⚠️ **Warning:** Verify that all job-level permissions for your hiring team are accurate. Learn more about job-level permissions [here](https://help.scalis.ai/permissions?hsLang=en).

6

Step 6

Define Your Ideal Candidate Profile

Define your preferences to identify your ideal candidate profile. This is used internally to improve candidate matching and match scores and is not visible on your listings. This step is optional.

Add **must-have** and **nice-to-have** criteria across:

**Experience**

**Companies**

**Education**

**Locations**

**Rank** your criteria by dragging them up or down within the ranking you select.

✓

Final Step

Publish Your Job

Choose how the role will be published:

**Publicly**: posted to your careers page and job boards.

**Privately**: a private link must be sent to candidates for them to apply.

Toggle the **Publish** icon to **On** for each listing you want to make active.

Click **Complete** to finalize.
