How to create an Automation

Build a custom automation to trigger actions automatically as candidates move through your hiring process.

Open Automation Rules
 
Go to Settings, then select Automation Rules.
 
Click Create Automation.

Create new or copy an existing automation
 
Choose one of the following:
 
Create New: build the automation from scratch.
 
Copy from Existing: duplicate an automation you already have set up.

Select the milestone
 
Choose the milestone the automation will take place in.

Add a name and set when it runs
 
Enter the automation name and description.
 
Set when the automation will run.

Choose the trigger

The trigger determines what event starts the automation.

 
Click the trigger and select when the automation should run:
 
Candidate enters a stage
 
Candidate self schedules an interview
 
Candidate is in a stage for X time period
 
Candidate submits availability
 
Interview is cancelled
 
Interview is completed
 
Interview is scheduled
 
Scorecard is submitted

Step 6
Add a step

Build out the automation by adding one or more steps after the trigger.

 
Click Add a Step and choose from:
 
Delay: add a waiting period before the next step runs.
 
Branch: add paths to create conditions that split the automation.
 
Then: add an action for the automation to perform.
💡 Note: You can add multiple steps to build out more complex, multi-branch automations.

Choose the action
 
If you chose Then, select an action:
 
Add label to candidate
 
Send email to notify company users
 
Send document
 
Send scheduler link
 
Request availability
 
Send interview confirmation

Fill out the details for the action

Each action needs its own configuration before the automation is complete.

 
Click into the action you added and fill out the fields it asks for.
 
For example, a Send Scheduler Link action will need details like:
 
The email that goes out to the candidate
 
Calendar invite details
 
Interview information (type, length, interviewers, location/link)
💡 Note: The fields shown will vary depending on which action you selected in the previous step.

Adding Automation to Job Pipeline

Go to the job's pipeline

Automations are activated per job, on the pipeline stage where you want them to run.

 
Go to your Job Dashboard and select the job.
 
Click View Pipeline, then find the stage you want to add the automation to.

Add the automation to the stage
 
Select Automations on the stage.
 
Click Add Automation and choose the automation you built.

Final Step
Activate the automation
 
Toggle the automation on so it shows as Activated.
⚠️ Warning: An automation only runs on the jobs and stages where you've added it, and only once the toggle is switched on. Building it in Automation Rules does not activate it on its own.
