1. Requesting Candidate Availability
Purpose
Requesting availability allows candidates to share preferred interview times, reducing back-and-forth and helping you match schedules efficiently.
Steps
- Locate the Candidate
- Navigate to the candidate’s profile or select them from the pipeline.

- Initiate Request
- Click “Request Availability.”
- The Request Availability drawer will open with the candidate already selected.
- Select Interviewers
- Choose the interviewer(s) who will be conducting the interview.

- Add Suggested Times
- Click “Add Suggested Times.”
- The drawer will expand to show a calendar view.
- Check Interviewer Availability
- Toggle External Events to view selected interviewer(s) schedules.
- Choose time slots that do not conflict with their availability.
- Save Suggested Times
- Click Save to return to the main Request Availability drawer.
- Click Save to return to the main Request Availability drawer.
- Send to Candidate
- Click Next to prepare the candidate email.
- Write your message or select an existing email template.
- Add any additional instructions (e.g., prep materials, meeting links).
- Send the request.
After the Candidate Responds
- Notification: You will be notified when the candidate submits their availability.
- Viewing Availability: View submitted times anytime via:
Candidate Profile → Interviews Tab.
2. Manually Scheduling an Interview
Purpose
Allows you to directly schedule interviews without requesting availability first (though requesting availability is recommended).
Steps
- Navigate to the Candidate
- Go to the candidate’s profile.
- Select Interviews → Interview → Manually Schedule.
- Open the Scheduling Drawer
- A calendar view will appear.
- Fill in all required interview details.
- Check Interviewer Availability
- Toggle External Events to display interviewer availability.
- Toggle External Events to display interviewer availability.
- Review Candidate Availability (If Submitted)
- If applicable, toggle Candidate Availability to On to compare with interviewer schedules.
- Tip: Requesting availability first helps minimize back-and-forth.
- Use an Interview Template (Optional)
- If you link a template, fields will auto-populate based on template settings.

- Finalize and Send
- Confirm details, send invitations, and ensure all parties receive the meeting link or location.

3. Creating Interview Templates
Purpose
Interview templates pre-configure all logistical details for an interview type, ensuring consistency and saving time during scheduling.
Example
A recurring “Values” Interview can be pre-set with:
- Duration
- Interviewer(s)
- Scorecard(s)
This guarantees a consistent approach across all candidates.
Steps
- Navigate to Company Settings.
- Select Interview Templates.
- Click Create Interview Template.
- Complete the required fields:
- Interview name
- Duration
- Type (phone, video, onsite)
- Assigned interviewer(s)
- Linked scorecard(s)
- Additional details as needed
- Save the template.
4. Using Interview Templates When Scheduling
Purpose
Applying a template during scheduling pre-fills interview details for faster setup.
Steps
- Navigate to the Candidate
- Go to the candidate’s profile.
- Select Interviews → Interview → Manually Schedule.
- Link the Template
- In the scheduling drawer, select Link Interview Template.
- Choose the desired template from the dropdown.
- Review Auto-Populated Fields
- Confirm:
- Interview name
- Duration
- Type
- Interviewer(s)
- Scorecard(s)
- Confirm:
- Adjust if Needed
- Modify any details specific to the candidate or scenario.

- Proceed with setting availability and sending confirmations.
